Procurement Process and Industrial Infrastructure Design

Procurement Support is selecting vendors, creating payment terms, vetting the vendor, and purchasing the product or service. This process follows industrial infrastructure design. Hence, acquiring goods or services is vital to any organisation's activities.

Therefore, the procurement process has to reflect company goals and strategies. It is the strategy of sourcing the proper quantity and quality of products or services from an adequate vendor at the correct time at a reasonable price.

The first step of the procurement process is identifying the requirement. The time for the process depends on the demand.

Stages 

1. Identifying the need, request for purchase & request authorisation.
2. Identifying the vendors, RFP/ Tenders.
3. Negotiation for commercial and technical terms, Vendor finalisation, & Order placement.
4. Delivery of Goods/ Completion of Services, Vendor Billing.
5. Approval of the Bill by the Department and 
6. Payment to the Vendor.

In an industrial project, many products and services are involved. The procurement of services and products is dependent on priority. So, the procurement package has to be discussed at the initial stage of a project and planned in line with the project timeline.

The RFP/RFQ/Bid should contain the relevant details and drawings to give a fair idea to the bidder. The drawings and the specifications should match; ambiguity will lead to confusion.

Management of the procurement process includes understanding the client's procurement process. Some organizations have specific policies for anti-corruption and safety. These policies also should form a part of the tender. This addition helps avoid conflict between two parties. 

The RFQ/Bid must ensure clarity on the delivery dates, checkpoints, approval process etc. 

Bid evaluation is another critical step in procurement. The team should check for any deviations to the tender, status of taxes, and compliances. Additionally, architects for industrial infrastructure should also check their previous performances. 

After industrial infrastructure design is complete, the procurement process is an important stage. A proper procurement process is essential for the timely completion of the project.
